Event Date and Location:

SVEF 2019, which will take place at the Santa Clara Convention Center, 5001 Great America Pkwy, Santa Clara, CA 95054, on Thursday, May 2nd, 2019.

Beside the Main Stage in the Theater, there will be two additional Breakout Rooms; and also a separate VIP & Press Room.

Volunteer Roles and Responsibilities:

There are 6 roles to sign up for, and volunteer to help make SVEF 2019 a success.

(A) Reception | Registration | Ticketing (8 people needed)

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 7:30am
  • Setup registration area for: VIPs/Speakers, Press, Exhibitors, Attendees
  • Prepare handouts
  • Color-code badges for VIPs, Speakers, Press, Exhibitors, and General Attendees
  • Ensure proper registration, badging, and downloading of Conference App
  • Provide directions to Theater, restrooms, waiting area, lunch room, etc.
  • After 10:00am, coordinate 2-hour shifts, to always have 4 people at the reception/registration area
  • Prepare 6 copies of List of Lunch Guests, and keep it at the VIP Registration desk for the Lunch Team (see (C)) by 11:00am
  • Close Registration at 3:00pm

(B1) Main stage (5 people needed):

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 8:30am
  • Obtain, re-confirm, and distribute Festival agenda, all tracks
  • Together, self-introduce to AV Team
  • Coordinate responsibilities for specific Speakers, Moderators, and Panelists
  • Greet and self-introduce to assigned Speakers, Moderators, and Panelists; help them navigate the schedule in the Conference App; and give them a Conference Guide
  • 5 minutes before scheduled time, find Speakers, Moderators, and Panelists to accompany them to the Main Stage
  • As needed, bring chairs on stage (for moderator and panelists) and off
  • One person to play/advance projected presentation slides, and a separate person to keep the time
  • Main Stage responsibilities end at 6:00pm

 (B2) Breakout room (2 people for each):

  • Similar to Main Stage responsibilities, in the afternoon

(C) Lunch (6 people needed)

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 11:00am
  • Together, go to VIP Registration desk to pick up List of Lunch Guests
  • Together, go to the Lunch area
  • Welcome Lunch Guests
  • Check badges (color codes): VIPs and Press will have prepaid lunch tickets, others pay their own lunch
  • Lunch responsibilities end at 1:30pm

(D) Exhibition booths (3 people needed)

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 7:30am
  • Obtain Exhibition Floor Plan
  • Greet and help Exhibitors to their respective booth area
  • Show Exhibitors the floor plan in the Conference App: Map
  • Show Exhibitors their respective listing in the Conference App: Sponsors
  • Direct Exhibitors to further help as needed
  • Exhibition booths responsibilities end at noon

(E) Media and press (2 people needed)

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 8:00am
  • Together, go to the Press Registration area
  • Greet members of the press, and give them phone numbers to call for assistance
  • Give members of the press the Conference Hashtag, and electric and charging
  • Direct members of the press to further help as requested
  • Media and press responsibilities end at noon

(F) Photography (2 people needed)

  • Arrive at the Santa Clara Convention Center, 2nd floor Theater, no later than 8:30am
  • Coordinate to cover all scheduled events, sponsors, speakers, moderators, panelists, exhibitors, and more
  • Create clear folders on Google Drive, and share with …
  • Upload all photos by 6:30pm
